About this notice and how to contact us
This notice explains how Staying in Hull uses information through its accommodation and visitor directory, accounts, enquiries and guest guides. For privacy questions, access or correction requests, or to withdraw a marketing choice, email info@stayinginhull.co.uk or use our contact form. Please do not send identity documents, payment card details or passwords with your initial request.
Information used by the service
- Accounts: your name, email, optional telephone number, account role and securely hashed password, together with information needed to sign you in and manage your account.
- Listings and claims: business and property information, contact details, photographs, listing ownership and claim records. Information submitted for a public listing may be visible to everyone.
- Enquiries and messages: the contact details and message content you provide. Messages addressed to a listing operator are available to that operator so they can reply; website contact enquiries go to the Staying in Hull team.
- Guest guides: account details, the property guide associated with your account, visit/association times and the optional marketing choices you submit. Opening a guide does not prove a booking or entitlement to enter a property.
- Paid directory services: where you buy a listing or subscription, order, billing, subscription and payment-reference information is used to administer that service. Accommodation bookings are arranged separately with operators or external booking platforms.
- Technical information: hosting and security systems may process IP addresses, request details and error logs. Form throttling uses a salted address identifier in short-lived counters, with a 10-minute contact-form window or 30-minute registration window, refreshed on accepted attempts.
Customer records and service messages
We use WordPress and its directory tools to operate accounts, listings and messaging. FluentCRM stores contact and enquiry records used to organise enquiries and guest-account information. Creating a contact record or sending an enquiry does not itself give permission for marketing. Account, security and service messages are separate from optional promotional messages.
Your marketing choices
Marketing choices are optional and are not preselected. You can use the guest guide without choosing promotional updates. Where the form offers separate choices for Staying in Hull and a property, or for different contact channels, each choice applies only to the purpose and channel you select. A privacy-notice acknowledgement is not marketing consent.
You can withdraw permission at any time using an unsubscribe link where provided or by contacting us. Tell us which brand/property and contact channel your request concerns. Withdrawing marketing permission does not prevent necessary account or service messages. We may need a minimal suppression record to make sure an opt-out continues to be respected.
Who may receive information
Authorised site administrators and service providers involved in hosting, email delivery, security and site operation may process information needed for those functions. A listing operator receives information you send to them. Payment providers process information needed for purchases of directory services. Links to external booking sites, maps or other services take you to services with their own privacy notices. Do not assume your Staying in Hull marketing choice also applies to an external service.
Cookies and similar technologies
Cookies are small pieces of information stored by your browser. WordPress uses login and security cookies when you sign in. WooCommerce can use basket and session cookies when you request a paid directory service. These support the feature you use; blocking them may stop sign-in or checkout working.
WordPress login cookies are normally session-based or last up to 14 days when a persistent sign-in is used. WordPress preference cookies can last up to a year. WooCommerce basket cookies normally last for the browsing session, while its customer session cookie normally lasts for two days. Lifetimes may be shortened by logout, browser settings or security controls.
WooCommerce order-attribution tracking, which records referral and campaign information, has been disabled. Optional advertising or analytics tracking should only be introduced with the information and choices required for that technology. Browser settings let you inspect or remove existing cookies; deleting login or basket cookies may sign you out or clear your basket.
Your data protection rights
Depending on the circumstances, you can ask for access to your personal information, correction, erasure, restriction or portability, and you may object to certain uses. You can always object to direct marketing and withdraw consent where processing relies on it. These rights are not absolute; we will explain any applicable limits when responding. Contact us using the details above.
You can also raise a concern with the Information Commissioner’s Office, the UK data protection regulator.
Changes to this notice
We will update this page when the site’s processing changes. A new use requiring consent needs a separate choice; publication of an updated notice does not provide that consent.
